Peek Behind The Curtain: How Your Event Gets Planned... Venue Manager Vs. Event Planner

The Georgetown Stables - Seattle Event Venue - decorated for an open house event

How does an event get planned?

Event planning can vary based on the type of event and level of elegance you are interested in. However, most events can be distilled into a few planning steps.

  1. Have a reason to celebrate.

  2. Pick a preferred date, and choose a backup date. (Pro Tip: Saturdays are almost always the most expensive day of the week).

  3. Look for a venue that fits your needs. (historical, inside, outside, elevated, casual)

  4. Tour the venue and provide event details for an accurate quote.

  5. Choose your venue

  6. Finalize event details. (catering order, beverage program, event timeline, venue layout, decor, any special requests)

  7. Party the night away!

Does it sound like a lot of work? Have no fear, this is where a venue manager and or an event planner comes in. Your venue manager knows all those final details you need to work out and will help guide you into the decisions that bring your vision to life. The most important step is choosing the perfect venue for you and your celebration. Let us handle the rest. :)

What is a venue manager?

A venue manager coordinates all of the on-site aspects of your event. They schedule your event, coordinate vendor access, manage venue staffing, oversee in-house offerings (catering, bar service, room turn-overs, basic AV connection), cleaning of the venue, guests/vendors entry & exit, and venue security.

Venue Manager Vs. Event Planner?

A venue manager differs from a planner because they do not manager your timeline beyond the venue responsibility. A venue manager will ensure your food comes out on time but, they are not responsible for your personal timeline such as speeches or wedding details.

An event planner will coordinate your full timeline (level of planning depends on what package you choose and who you choose). They handle both minor and major detailing, from floral & candle placement to gathering your belongings and packing them up after the

event.
